How we use your registration details
This notice explains what happens to the information you give us when you register for the IMEC Alumni Leadership & Prosperity Summit and its pre-summit webinar series (the "program"). The program is run by its organizing team (the "organizers", "we") for alumni of U.S. Government exchange programs.
What we collect
- Contact details: your name, email address, mobile number and city.
- Background: whether you are an exchange alumnus (and if so, the U.S. Government exchange program and year) or how you are connected to the program, plus your organization, role and sector.
- Program choices: the sessions you plan to attend, how you'd like to take part at the summit, the focus areas you care about, and anything you write in the notes field.
- Optional: a LinkedIn profile link, if you give one.
- Organizer notes: short notes the organizers add while following up (for example that you were called, or a seating or dietary need you told us about).
We don't use analytics trackers or advertising cookies on this website. The only cookie is a sign-in cookie used by the organizers' own dashboard.
Why we use it
- To review registrations and confirm places. Places are limited and priority goes to alumni who can attend all three sessions.
- To contact you about the program: confirmation, Zoom links, the agenda, reminders and practical information, by email, phone or WhatsApp.
- To plan the summit: discussion-table assignments, name badges, attendance lists and catering.
- To report, in aggregate and without naming you, on who took part (for example how many alumni from which programs and sectors).
Who can see it
Your details are seen by the organizing team. We share them only as needed to run the program: with the program's funder, the U.S. Embassy Jerusalem's public diplomacy team, for participant lists and reporting, and with the Next Bay conference organizers for access to the venue on 24 November. We don't sell or rent your details, and we don't share them with anyone else without asking you first.
Where it is stored and for how long
Registrations are stored in a private, access-controlled store hosted by Vercel in Frankfurt, Germany, and the confirmation emails are sent from the program's Gmail account. We keep your registration until 90 days after the summit, then delete it, unless you tell us you'd like to hear about future alumni programs.
Your choices
You can ask us at any time to see, correct or delete the details we hold about you, or to stop contacting you. Write to leadershipsummitimecalumni@gmail.com from the email address you registered with. Deleting your registration means you can't be offered a place.
Photos and video at the summit
The summit may be photographed and filmed for program reporting and for the organizers' and partners' communications. If you'd rather not appear in photos, tell the registration desk on the day and we'll do our best to respect that.
Changes
If this notice changes, we'll update the date at the top and, for anything significant, tell registered participants by email.
